This Privacy Policy describes how Head Count Inc. (“HeadCount,” “we”, “us” or “our”) handles personal information that we collect through our website, in person and on other digital properties that link to this Privacy Policy (collectively, the “Service”). HeadCount is a non-profit, non-partisan organization that uses the power of music to register voters and promote participation in democracy.
PERSONAL INFORMATION WE COLLECT
Information you provide to us. Personal information you may provide to us through the Service or otherwise, includes:
- Contact data, such as your first and last name, email address, mailing address, and phone number.
- Communications that we exchange, including when you contact us with questions, feedback, or otherwise.
- Payments and transactional data needed to process online donations or purchases through our third party processors from our Merch store, including name, contact data, gift or purchase amount and preferences, payment information (including credit and debit card information), bank account number, billing information, and your transaction history.

- Voter registration information that you provide such as when you register to vote online or at an event.
- Volunteer information that you provide when you sign up to volunteer with or through us such as name, contact information, favorite bands/genres, interest in leadership positions, special skills (e.g., content creator, musician, photographer, languages spoken, etc.), volunteer interests, t-shirt size, partner referral code, how you heard about us and other information. You can also register to attend events, concerts and festivals and suggest events that can be anything from a large community street fair to a club meeting at your local library or college campus.
- Minors. HeadCount welcomes folks ages 13 and up to volunteer, with some limitations. Minors ages 13 to 15 can only provide information with their parents’ or legal guardians’ permission and may only be at an event when their parent or legal guardian give permission and volunteer, and both are confirmed in advance. Those individuals aged 16 or 17 may volunteer with parental permission.
- Dashboard. When you register, we provide an online dashboard where you can see your upcoming and past events, and your stats such as number of events and voters registered on paper and digitally. We also share opportunities and internships that you may be interested in.
- Testimonials. With your permission, we may publicly share your name, title, company and experience with us on our website and in other public materials.
- Marketing and advertising data, such as your preferences for receiving communications about our services, activities, events, and publications, and details about how you engage with our communications.
- Content that you may upload through the Service or otherwise share with us, such as documents, files, photographs, audio and video files, and any metadata associated with this content.
- Demographic Information, such as your age, gender identity, race or ethnicity, marital status, sexual orientation, general geographic location, and/or primary language. We may also use publicly available data or third-party services to supplement this information. We use demographic information to help us understand the populations we serve and to determine how we can better serve people and communities.
- Other information that we may collect, which we will use as described in this Privacy Policy or as otherwise disclosed at the time of collection.
Third party sources. We may combine personal information we receive from you with personal information and other information, we obtain from other sources, which may include:
- Public sources, such as social media platforms and public media websites.
- Third Parties, such as analytics providers, social media platforms, through collaborative or co-branded campaigns where we provide notice to you, or when we acquire/merge with another company. Depending on your social media setting, when you visit our page, certain personal information from your social media account will be shared with us, which may include personal information that is part of your profile or your friends’ profiles; in addition, if you use a “like” button or use other social media features while visiting our website, those social media companies may collect information about you. Your interactions with social media companies and the use of their features are governed by their privacy policies.
- Third party donation platforms that share donor and other data with us.
- Publicly available information, such as from voter registration databases and other publicly accessible locations.
Automatic data collection. We, our service providers, and our business partners may automatically collect information about you, your computer or mobile device, and your activity over time on our Service and other online services, such as:
- Device data, such as your computer or mobile device operating system type and version number, manufacturer and model, browser type, screen resolution, IP address, unique identifiers, the websites you visited before or after browsing our website, and general location information such as city, state or geographic area.
- Activity and usage data, such as pages or screens you viewed, how long you spent on a page or screen, navigation paths between pages or screens, information about your activity on a page or screen, access times, and duration of access.
Cookies and similar technologies. Like many online services, we use the following technologies:
- Cookies, which are text files that websites store on a visitor’s device to uniquely identify the visitor’s browser or to store information or settings in the browser for the purpose of helping you navigate between pages efficiently, remembering your preferences, enabling functionality, helping us understand user activity and patterns, and facilitating online advertising;
- Web beacons, also known as pixel tags or clear GIFs, which are used to demonstrate that a webpage or email was accessed or opened, or that certain content was viewed or clicked.
HOW WE USE YOUR PERSONAL INFORMATION
We use your personal information for the following purposes or as otherwise described at the time we collect it:
Operations, Communications and Personalization. We use your personal information to:
- provide, operate and improve the Service and our business;
- communicate with you, your affiliates or your organization about your donations, Merch purchases or otherwise, including by sending announcements, updates, security alerts, and support and administrative messages;
- process your donations;
- process your voter registration;
- engage in activities designed to increase voter registration and voting rates;
- understand your needs and interests, and personalize your experience with the Service and our communications; and
- provide support for the Service, and respond to your requests, questions and feedback.
Promoting events and projects. We may send you communications promoting HeadCount and other events as permitted by law. You may opt-out of our email communications as described in the Opt-out of promotional communications section below.
Sweepstakes. We team up with artists, influencers, brands and cultural leaders to hold fun sweepstakes to make sure we are all good to vote.
Vote with Pride. Vote With Pride is a program that educates and provides tools for the LGBTQ+ community. We help voters and potential voters get registered, check their status, and navigate a range of issues that many transgender and non-binary people face when trying to vote.
Save the Vote. Save The Vote! educates and empowers voters to speak up for democracy and elections that are fair, accessible, and trustworthy for all voters.
Research and development. We may use your personal information for research and development purposes, including to analyze and improve the Service and our business. As part of these activities, we may create aggregated, de-identified or other data from personal information we collect. We may use this data and share it with third parties for our lawful business purposes, including to analyze and improve the Service and promote our business.
Compliance and protection. We may use your personal information to:
- comply with applicable laws, lawful requests, and legal process, such as to respond to subpoenas or requests from government authorities;
- protect our, your or others’ rights, privacy, safety or property (including by making and defending legal claims);
- audit our internal processes for compliance with legal and contractual requirements and internal policies;
- enforce the terms and conditions that govern the Service; and
- prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity, including cyberattacks and identity theft.
Text messages. We may use your personal information to:
- HeadCount sms alerts: message count varies per month and data rates apply. HeadCount will send reminders about when, where, and how to vote. This includes reminders to verify and register to vote, upcoming election alerts, and volunteer opportunities.

HeadCount provides voter registration assistance on a strictly nonpartisan basis to any U.S. citizen aged 18 or over without regard to political affiliation, race, religion, or age. HeadCount does not endorse, support or coordinate with any political party or candidates for elected office, or take positions on any ballot initiatives. Privacy Policy applies.
HOW WE DISCLOSE YOUR PERSONAL INFORMATION.
We disclose your personal information with the following parties and as otherwise described in this Privacy Policy or at the time of collection:
Service providers. We may share information with companies, nonprofits and individuals that provide services on our behalf or help us operate the Service or our business (such as information technology, hosting, customer relationship management and support, etc.).
Voter registration authorities. When you provide personal information and other unique identifiers that are required by law to register to vote (such as through our online voter registration tool or at an event), information is submitted to voter registration authorities in the State in which you wish to register to vote. This information may be published in public records or otherwise be accessible to the public, available for inspection and use by candidates for public office and their campaign organizations, and others who qualify to access such information under applicable State or local laws.
Volunteers. We may share limited personal information, such as contact information, with volunteers who are assisting us and who require the information as part of their duties.
Matching Donation Partners. If you donate, we will collect personal information from you that may include: your name, address, telephone number, and/or e-mail address so that we can send you a receipt and thank you for your donation. We may also collect employer information if your employer participates in our donor match program.
Corporate Partners and Voter Advocacy Organizations. We team up with artists, influencers, musicians, brands, and cultural leaders on various projects to encourage voter registration. We disclose personal information and other publicly available information regarding voter registration to our partners and organizations with principles and/or missions that are consistent with ours in order to increase voter turnout. We may also provide information from voter registration applications or other civic participation actions to partners to whom we provide access to our online voter registration and civic engagement tools.
Social Media Platforms. If you engage with us, a partner or a co-sponsor on a public, social media platform, you may be sharing your personal information with the public, your friends associated with your social media account, with other website users, and with your social media account provider, in connection with your social sharing activity. If you are logged into your social media account and you visit our website, you authorize us to share information with your social media account provider, and you understand that the use of the information collected by the social media provider will be governed by the social media provider’s privacy policy. Please note that any information you post within these public forums or social media pages may become public and may be read, collected, and used by anyone. Please exercise caution when deciding whether to disclose your Personal Information in these forums.
Advertising and Marketing. As set forth above, we and third party analytics providers, measurement companies and advertisers use your personal information to implement and evaluate relevant advertising on our Services and on third party sites. Often the personal information is collected through cookies and other tracking technologies on the Services. See the section entitled Your Choices, To Opt-out of Targeted Advertising below for more information.
Third-party Fundraising Campaigns, Promotions, or Events. We may use or interact with third parties to conduct fundraising campaigns, promotions, or events, including online platforms. In these instances, we may receive access to donor reports which includes donor name, contact information, and donation amount. We also may receive your personal information if you respond to a cause-related marketing campaign or other promotion benefitting us that is conducted by a corporate partner.
Professional advisors. Professional advisors, such as lawyers, auditors, bankers and insurers, where necessary in the course of the professional services that they render to us.
Authorities and others. Law enforcement, government authorities, and private parties, as we believe in good faith to be necessary or appropriate as legally required for the compliance and protection purposes described above.
Business transferees. Relevant participants in business transactions (or potential transactions) involving a corporate divestiture, merger, consolidation, acquisition, reorganization, sale or other disposition of all or any portion of the business or assets of, or equity interests in, HeadCount or our affiliates (including, in connection with a bankruptcy or similar proceedings).
YOUR CHOICES
You have the following choices with respect to your personal information:
Opt-out of promotional communications. You may opt out of marketing emails and other communications that promote our events or partnerships by following the opt-out or unsubscribe instructions at the bottom of the email, or by contacting us (https://www.headcount.org/contact-us/). You may continue to receive service-related and other non-marketing emails or communications.
Declining to provide personal information. We need to collect personal information to provide certain services. If you do not provide the information requested, we may not be able to provide those services.
Your state privacy rights and choices. In certain countries and in certain states, such as Colorado, you have specific rights regarding your personal Information. This section describes your rights and explains how to exercise those rights. Subject to certain limitations (such as our legal obligations), you have the right to access, to obtain a copy of, to correct, to opt-out of the sale or sharing, and to delete your Personal information. If the request is submitted on behalf of another person, please provide sufficient information that allows us to verify you are authorized to make the request.
- To Access/Request a Copy of your Personal Information (Data Portability). Subject to applicable law, you may have the right to obtain confirmation of the categories of personal information we maintain about you and/or to request access to and receive a copy of information. In your request, please make clear what personal information you would like to review. For your protection, we may need to verify your identity before implementing your request. If you are submitting a request on behalf of someone else, we may ask for additional verification.
- To Opt Out of Targeted Advertising. You have the right to opt out of targeted advertising of your personal information. Most browsers let you remove and/or stop accepting cookies from the websites you visit. To do this, follow the instructions in your browser’s settings. Many browsers accept cookies by default until you change your settings. If you do not accept cookies, however, you may not be able to use all functionality of the Service, and our Service may not work properly. Companies that are members of the Network Advertising Initiative (“NAI”) and/or the Digital Advertising Alliance (“DAA”) Self-Regulatory Program for Online Behavioral Advertising provide “opt-out” mechanisms for participating companies: https://optout.networkadvertising.org and https://optout.aboutads.info. You can opt-out from interest based advertising on your mobile device through your mobile device settings or by downloading the AppChoices app. We currently do not respond to “Do Not Track” signals.
Please note that opting out through these mechanisms does not opt you out of being served ads, and you will continue to receive generic ads while online. We use Google Analytics to help us understand user activity on the Service. We also use advertising services facilitated by Google advertising cookies. - To Opt Out of Sale and Profiling. We do not sell your personal information as that term is defined under applicable state law, and we do not engage in profiling in furtherance of decisions that produce a legal or similarly significant effects concerning a consumer.
- To Request Correction. You have the right to request that we correct inaccuracies in your personal information taking into account the nature of the personal information and the purposes of processing.
- To Request Deletion. You have the right to request that we delete any of your personal information we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable consumer request, we will delete (and direct our service providers to delete) your personal information from our records, unless an exception applies. Please note that in cases of deletion, limited personal information will remain to document the request. The right to access personal information may be limited by local law.
- To Appeal a Decision. Although we make good faith efforts to comply with privacy rights requests, there may be circumstances where we are unable to provide access, including but not limited to, where the information would compromise others’ privacy or other legitimate rights, such as where the burden or expense of providing access would be disproportionate to the risks to the individual’s privacy, or where the information is subject to legal privilege.

We retain personal information that we receive for as long as necessary to fulfill the purpose(s) for which it was collected, to provide our services and products, to pursue legitimate business purposes, to enforce our agreements and rights, and as permitted by applicable laws.

The Service may contain links to websites, mobile applications, and other online services operated by third parties. These links are not an endorsement of, or representation that we are affiliated with, any third party. In addition, our content may be included on web pages or in mobile applications or other online services that are not associated with us. We do not control websites, mobile applications or online services operated by third parties, and we are not responsible for their actions.
SECURITY
We employ a number of measures designed to protect the personal information we collect. However, security risk is inherent in all internet and information technologies, and we cannot guarantee the security of your personal information.
INTERNATIONAL DATA TRANSFER
We are headquartered in the United States and may use service providers that operate in other countries. Your personal information may be transferred to the United States and other locations where privacy laws may not be as protective as those in your state, province, or country.
CHILDREN
We do not knowingly collect personal information through the Service from children under 13 without the consent of their parent or guardian as required by law, but if we learn that we have done so inadvertently, we will delete that information. CHANGES TO THIS PRIVACY POLICY
We reserve the right to modify this Privacy Policy at any time. If we make changes to this Privacy Policy, we will notify you by updating the date of this Privacy Policy and posting it on the Service. If required by law, we will also provide notification of changes in another way that we believe is reasonably likely to reach you. Any modifications to this Privacy Policy will be effective upon our posting the modified version or as otherwise indicated at the time of posting. Your continued use of the Service after the effective date of any modified Privacy Policy indicates your acceptance of the modified Privacy Policy.
